The following terms are applicable to all orders places with Flame Tree Kitchen.

ORDERS

To ensure the best experience for your guests, it is recommended that you place your order at least 7 days prior to your event. Due to the made-to-order nature of our cooking, we require at least 48 hours notice in order to fulfil your menu. For the orders placed within 48 hours, a menu will be advised by your catering administrator. Orders should be contained within one menu set per service. Please do not select from a range of menus for a single delivery. Minimum order numbers are required for each menu set and are indicated as such.

For the following menus, the below minimum per person order applies:

Morning & Afternoon Tea

3 food items, or 2 food items with a tea and coffee service. For more than 50 guests, a minimum order of 2 food items, or 1 food item with a tea and coffee service applies.

Lunch

A minimum order of 3 items per person for applies. We recommend 4 to 5 items per person.

Finger Food

A minimum of 3 food items for fingerfood or canapé items are required for a 1 hour service.

A minimum order of 10 applies to all other items and menus, not listed above. All menu pricing in this book is exclusive of GST.

Allergen Statement
Please note our meals are prepared in a kitchen that also handles Gluten, Dairy, Egg, Soy, Fish, Shellfish, Tree Nuts, Peanuts, Sesame, Sulphites and Lupin and may contain traces of allergen residues.

NON-SERVICED DROP-OFFS

This service is the delivery of the food items only. Additional setup requirements (such as food labels, crockery setup etc.) must be arranged prior and will incur additional service charges.

Descriptor cards will be supplied with every drop-off.

Extra services requested upon delivery will be charged for.

DELIVERY & PICK UP CHARGES

No delivery or pick up charges shall be applied for the catering at the UoA, however, additional charges may apply if the catering collection point differs from the delivery instruction, if multiple trips are required to collect equipment or if equipment is missing or broken.

Post event pick up of equipment happens at the end of each day. Time specific collections may incur a fee.

The following delivery charges are applicable to orders outside of UoA:

Delivery and pick up in CBD - $25 each way

Delivery and pick up within 15 minutes outside of CBD - $35 each way

Delivery and pick up 15-30 minutes outside of CBD - $50 each way

PAYMENT POLICY

External client orders (non UoA), must be fully paid 7 days prior the event.

Internal UoA orders require the following to be provided at least two days prior to the function: account code, cost centre, cost centre’s owner and cost centre’s email must be provided in the Charge Details Form.

Alternatively, UoA orders with a PO, must confirm the PO number at least two days prior to the function.

Without fulfillling these requirements, we cannot confirm the order.

PUBLIC HOLIDAYS

A 15% surcharge will be applied to all ordered food and beverage on New Zealand recognised public holidays.

BEVERAGE SERVICE

A function where alcohol is being served will incur additional charges as follows:

Up to 50 guests - $10 per guest

Up to 100 guests - $8 per guest

More than 101 guests - $6.50 per guest

These charges include a licensed bar manager, alcohol licence, bar service staff, bar equipment, glassware, bar tables and linen, chilling of beverage, bar set up and pack down.

All beverages are charged on consumption (see beverage page in this menu book).

STAFFING

Chef/wait staff and equipment may be required at your event to create your menu.

Non-serviced options are available.

The charges outlined below is per staff member, per hour and will be charged on a time engaged basis. during setup, function duration and pack out.

Professional chef - $39.50 per hour

Front of house staff - $37.50 per hour

Licensed beverage manager - $200 up to 3 hours ($75 per additional hour thereafter)

A licensed beverage manager is required when alcohol is supplied to public or function guests. Our team will quote this for you as needed. Please note the proximity of your function to Flame Tree kitchens and storage will be reflected in pricing.

PLATED DINNERS

Additional staff and equipment will be required for every plated dinner. Our team will quote this for you as needed.

BUFFETS

Buffet meals are always prepared and served in volumes that ensure ample food is available for your guest number but we will need to charge for extra guests dining on the event day.

There will sometimes be excess food however, due to Food Safety regulations, this excess food will be removed at the end of service (one hour duration) and will not be available for guests to take home. We do our best to ensure any leftovers are sent to food rescue organisations such as City Mission etc.

ALCOHOL SERVICE

A function where alcohol is being served will incur additional charges as follows:

Sufficient food must be provided. Our team can advise appropriate volumes and services. If Flame Tree is not the function food provider, our team must approve the food provided to ensure it satisfies Host Responsibility requirements.

Any alcohol served must come from a registered provider. Goldie Estate Wine is the official wine of UoA and is the only wine permitted to be served on campus.

Water, low alcohol and non-alcoholic options must be available at all times. Flame Tree reserves the right to cease supplying alcohol at any function, if there is a Host Responsibility risk.

CANCELLATIONS

Cancellation of catering within seven days of the event date, will incur a 50% charge of the arrangements to date. Cancellation within 48 hours of the event date will incur a 100% charge of the arrangements to date including ordered, prepared food and rostered staff.

COVID 19 CANCELLATION POLICY

If catering is cancelled or rescheduled as a direct result of Covid Alert Level changes, the following notice and conditions apply:

All bookings cancelled or postponed within a working day of the intended event date, will incur a 100% charge of items quoted, excluding function staff and equipment charges

All bookings cancelled within three working days of the intended event date will incur a 60% charge of items quoted, excluding function staff and equipment charges

Any postponed bookings will not incur charges (except those within a working day of the event date, as noted above)

Please note, function postponements must be rebooked with a new function date.

Postponements must occur within a month of the original function date

A venue site visit may be appropriate to view the space and discuss your vision further.
Menus can be created to suit the vision for the function and accommodating a budget.
